Letter Of Complaint
If you are sitting there thinking about writing
a letter of complaint then you need to consider a few
things. These things will make your letter go further
faster, the important thing is not to jump straight
in plan your letter.
By the time you have gotten around to writing a
complaints letter you are most probably very angry and
you want to start the letter with something like , “your
Company Sucks”.
While there is no study on how this approach
will work I would hazard a guess to say that this
approach has been used hundreds of times before and ,
imagine being the recipient of a hastily written hate
letter, I would probably bin it.
So if you want to write a successful letter you
need to not only get your fact right you also need to
make sure it follows a specific and successful formula.
You need to get you letter to the right
person.
The Steps To A Successful
Letter Of Complaint
-
Identify the person you need to write to,
you can do this by calling, try the internet or even
company records.
-
Start your search looking for the person
that is responsible for the section you have a
problem with.
-
Make sure you keep copies and document how
you sent the letter, when and where you send it
to.
-
Make sure if you don’t get a response in a
week or 2 to move you letter up the line, one person
at the time recording the last persons information in
you letter.
Letter Of Complaint Layout
When you are starting plan your letter you need
to have a start a middle and an end, I know you are
thinking this is how all letters start but it is vitally
important to keep your format the same for each letter
you send to the naughty company.
Sample:
Dear Manager,
My name is Barry Smith and I am writing to you today in the
hope of resolving a problem that has seriously affected my
family, this is the first letter I have written to your
company regarding this matter.
On the 12th of September 2009 I
purchased a television please see receipt off your
company that had 3 years warranty. I was up sold from a
cheaper model to one with all the bells and whistles.
Unfortunately after just 2 months the television no
longer works, I have been back to the store and they have
told me I have to send it to the local distributor for
repair. This will cost me $300 dollars in freight. I
pleaded with your store staff and they basically told me
that they could do nothing else to help.
I am hoping after reading my letter that you can
help me find some other way to get my television checked
one that doesn’t leave me out of pocket because I believe
the complexity of the television. Please help me to fix
this problem as I no longer have a television and this is
making my recreation time most unpleasant.
Kind Regards Barry Smith
